    Set the rules

    The first piece of work is to understand who travels, why, and what “acceptable” looks like in your business. That covers cabin and hotel standards, who may approve, how ground transport should be handled, and how expenses and receipts need to come back. The desk is then run against those rules.

  2. 02

    Request and approve

    A request records the purpose, the dates, the route and who is going. It is reviewed by the approver you have named. If it sits outside policy, that is visible in the decision. Arrangements start once the trip is approved.

    Arrange the journey

    The travel desk arranges the air, the stay and the ground transport that the approval covers. The traveler receives a clear itinerary. The business can see what was arranged against what was agreed.

    Support the traveler

    Disruptions, time changes and practical questions come back to the same team. Support is handled in the context of the original request, the approval and the policy, and the business is told when something material changes.

    Close the record

    After travel, the cost and the documents sit with the trip they belong to. Reporting then shows the wider picture: where people went, what it cost, and whether it stayed within the rules you set.
